Terms and Conditions
Curated private, cultural and luxury travel experiences in Ghana
Effective Date: 19 August 2026
Please read these Terms and Conditions carefully before making a booking. By paying a deposit or the full tour price,
you confirm that you have read, understood, and agree to be bound by these Terms.
- Introduction and Acceptance
These Terms and Conditions (“Terms”) form a legally binding agreement between you (the “Client”, “Traveller”,
“you” or “your”) and LightBloom Tours (“LightBloom”, “we”, “us” or “our”), a founder-led tour operator based in
Accra, Ghana, offering private, cultural and luxury travel experiences throughout Ghana.
LightBloom Tours specialises in thoughtfully planned, authentic journeys. These Terms apply to all bookings
made with us, whether directly or through our website, WhatsApp, or any other channel. If you are booking on
behalf of other travellers, you confirm that you have authority to accept these Terms on their behalf and that all
members of your party have been made aware of, and agree to, these Terms. - Definitions
“Booking” means a confirmed reservation for a tour or travel service with LightBloom Tours.
“Tour” means any itinerary, package, private journey, cultural experience or luxury travel arrangement
provided by us.
“Deposit” means the initial payment required to secure a Booking.
“Force Majeure” means any event beyond our reasonable control, including but not limited to natural
disasters, war, civil unrest, epidemics, government restrictions, strikes, or severe weather that prevents or
significantly disrupts the Tour.
“Lead Traveller” means the person who makes the Booking and accepts these Terms on behalf of the party. - Booking Process and Confirmation
3.1 To begin planning, you may contact us via WhatsApp, our website contact form, or any other channel we
provide. We will discuss your preferences, dates, group size, interests and budget, and prepare a tailored
proposal and itinerary.
3.2 A Booking is confirmed only when we have received the required Deposit (or full payment, where applicable)
and have issued a written confirmation (by email, WhatsApp or formal invoice). Until then, no contract exists.
3.3 It is your responsibility to check the confirmation carefully and notify us immediately of any errors in names,
dates, or services.
3.4 All quotations are valid for a limited period as stated on the proposal. Prices may change if the Booking is
not confirmed within that period.
Confidential – For Clients of LightBloom Tours - Payments and Pricing
4.1 Deposit. A deposit of thirty percent (30%) of the total tour price (or such other amount as stated in your
proposal) is required to confirm your Booking. For certain high-demand periods, luxury arrangements or
last-minute bookings, a higher deposit or full payment may be required.
4.2 Balance. The remaining balance is due no later than thirty (30) days before the scheduled start date of the
Tour, unless otherwise agreed in writing. For bookings made within 30 days of departure, full payment is
required at the time of Booking.
4.3 Payment methods. We accept payment via bank transfer, mobile money (where available in Ghana), and
approved online payment processors (including Paystack and similar services). You are responsible for any
bank charges or currency conversion fees. All prices are typically quoted in United States Dollars (USD) or
Ghana Cedis (GHS) as indicated on your proposal.
4.4 Late payment. If the balance is not received by the due date, we reserve the right to cancel the Booking and
apply the cancellation charges set out in Section 5. Any payments already made may be retained in accordance
with those charges.
4.5 Prices are based on costs known at the time of quotation. We reserve the right to adjust prices in the event
of significant changes in taxes, fuel costs, exchange rates, or third-party supplier fees, provided we notify you as
soon as practicable. If the increase exceeds 10% of the total price, you may cancel and receive a full refund of
amounts paid (less any non-recoverable third-party costs). - Cancellation by the Client
5.1 All cancellation requests must be made in writing (email or WhatsApp message to our official contact
channels) by the Lead Traveller. The effective date of cancellation is the date we receive your written notice.
5.2 Cancellation charges are calculated as a percentage of the total tour price and apply as follows:
- 60 days or more before departure: Loss of Deposit (or 30% of total price, whichever is greater).
- 59–31 days before departure: 50% of the total tour price.
- 30–15 days before departure: 75% of the total tour price.
- 14 days or fewer before departure, or no-show: 100% of the total tour price (no refund).
5.3 In addition to the above, any non-refundable costs already incurred on your behalf with third-party suppliers
(hotels, transport, activities, domestic flights, etc.) will be deducted from any refund due.
5.4 We strongly recommend that you purchase comprehensive travel insurance that covers cancellation,
curtailment, medical emergencies and evacuation. LightBloom Tours is not responsible for costs arising from
events that would typically be covered by such insurance.
5.5 Bookings may be transferred to another person (subject to our approval and any name-change fees charged
by suppliers) provided written notice is given at least 14 days before departure and the new traveller accepts
these Terms.
- Cancellation or Changes by LightBloom Tours
6.1 We reserve the right to cancel a Tour if the minimum number of participants is not reached (for any group
departures), or for reasons of safety, Force Majeure, or operational necessity. In such cases we will offer you
the choice of:
- an alternative tour of comparable standard and value; or
- a full refund of all monies paid to us for the cancelled Tour.
6.2 We may make reasonable changes to the itinerary, accommodation, transport or activities when necessary
due to local conditions, weather, road status, supplier availability, or safety considerations. We will endeavour to
provide services of equivalent or higher standard. Minor changes do not entitle you to a refund or compensation.
6.3 Significant changes will be communicated as soon as practicable. If a significant change is unacceptable to
you, you may cancel and receive a refund of amounts paid for the affected portion, subject to any
non-recoverable costs.
- Travel Documents, Visas, Health and Insurance
7.1 You are solely responsible for ensuring that you and all members of your party hold valid passports, visas,
vaccination certificates, and any other entry or exit documents required for travel to and within Ghana.
LightBloom Tours can provide general guidance but does not assume responsibility for obtaining these
documents or for any consequences of their absence or invalidity.
7.2 It is your responsibility to check current entry requirements, health formalities and travel advisories with the
relevant embassies, high commissions and health authorities before travel.
7.3 Travel insurance is mandatory. Every traveller must hold valid comprehensive travel insurance covering
medical treatment, emergency evacuation, trip cancellation/curtailment, and personal liability for the full duration
of the Tour. Proof of insurance may be requested before departure. Failure to hold adequate insurance does not
create any liability for LightBloom Tours.
7.4 You must disclose any medical conditions, disabilities or special requirements at the time of Booking so that
we can assess suitability and make reasonable arrangements where possible. - Client Responsibilities and Conduct
8.1 You agree to follow the reasonable instructions of your guide or LightBloom representative at all times,
particularly regarding safety, local customs, and environmental protection.
8.2 You must arrive on time for all scheduled pick-ups, activities and departures. Delays caused by late arrival
may result in missed activities without refund.
8.3 LightBloom Tours reserves the right to remove from a Tour any person whose behaviour is deemed by us
(or our guides) to be disruptive, dangerous, illegal, or offensive to other travellers, staff or local communities. In
such cases, no refund will be due and any additional costs incurred will be your responsibility.
8.4 You are responsible for the security of your personal belongings at all times. We recommend using hotel
safes and exercising normal caution, especially in busy markets and public places. - Limitation of Liability and Assumption of Risk
9.1 Travel in Ghana and participation in cultural, adventure or nature-based activities involve inherent risks,
including but not limited to road conditions, weather, wildlife, illness, accidents, theft, and political or social
events. By booking with us you acknowledge and voluntarily accept these risks.
9.2 LightBloom Tours acts as an organiser and intermediary for many services provided by independent
third-party suppliers (hotels, transport providers, activity operators, restaurants, etc.). While we select suppliers
with care, we are not liable for the acts, omissions, negligence or insolvency of those third parties, except to the
extent required by applicable law.
9.3 To the maximum extent permitted by Ghanaian law, our total liability to you for any claim arising out of or in
connection with the Tour (whether in contract, tort or otherwise) shall not exceed the total amount paid by you to
LightBloom Tours for the relevant Booking.
9.4 Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, or
for fraud or any other liability that cannot be excluded under applicable law.
9.5 We shall not be liable for any indirect, incidental, special or consequential loss, including loss of enjoyment,
loss of opportunity, or additional expenses incurred as a result of delays, changes or cancellations beyond our
control. - Force Majeure
10.1 LightBloom Tours shall not be liable for any failure or delay in performing its obligations where such failure
or delay results from Force Majeure events. In such circumstances we will make reasonable efforts to minimise
disruption and to offer alternative arrangements or credits where practicable.
10.2 If a Force Majeure event prevents the Tour from taking place, we will discuss options with you, which may
include postponement, alternative itineraries, or a partial or full refund of recoverable amounts, at our
reasonable discretion and subject to supplier policies. - Complaints and Dispute Resolution
11.1 If you have a concern or complaint during the Tour, please raise it immediately with your guide or our
representative so that we have the opportunity to resolve it on the spot.
11.2 Any formal complaint after the Tour must be submitted in writing within 14 days of the end of the Tour,
providing full details. We will investigate and respond as promptly as possible.
11.3 We aim to resolve all disputes amicably. If a resolution cannot be reached, the matter may be referred to
mediation. These Terms are governed by the laws of the Republic of Ghana, and the courts of Ghana shall have
exclusive jurisdiction. - Privacy and Data Protection
12.1 We collect and process personal data necessary to arrange and deliver your Tour (including names,
contact details, passport information, dietary and medical notes, and payment details). This information is
shared only with relevant suppliers and as required by law.
12.2 We will not sell or share your personal data for marketing by third parties without your consent. By booking
with us you consent to our use of your data for the purposes of fulfilling the Booking and communicating with
you about your journey. - General Provisions
13.1 These Terms constitute the entire agreement between you and LightBloom Tours concerning the Booking
and supersede any prior discussions or representations.
13.2 If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall
continue in full force and effect.
13.3 We may update these Terms from time to time. The version in force at the time of your Booking will apply to
that Booking. The current version will always be available on request.
13.4 No failure or delay by us in enforcing any right under these Terms shall constitute a waiver of that right. - Contact Us
